A guide for case managers: helping clients run a job search

If you’re a case manager, job coach, or reentry counselor, you’re often helping several clients run job searches at once — each at a different stage, each with different barriers. A little shared structure makes your support go much further. Here’s a practical framework.
Start with a clear, shared picture
The hardest part of supporting a search is visibility — knowing where each client actually is. A shared, simple system beats scattered notes and “how’s it going?” check-ins. When you and your client can both see the same pipeline — what’s applied, what’s pending, what needs follow-up — your sessions get more focused and your advice gets more concrete.
Break the search into small, coachable steps
A job search is overwhelming as one big task and manageable as a sequence of small ones. Help clients work through it in stages:
- Foundation — a profile and a clean, skills-forward resume (see our resume guide).
- Targeting — realistic roles and the right places to look, including second-chance employers where relevant.
- Applying — a steady weekly volume, each application tracked.
- Following up & interviewing — the habits that convert applications into conversations.
Coach accountability, not just tasks
The value you add isn’t only advice — it’s momentum. A standing weekly review of what got applied to, what’s stalled, and what’s next keeps clients moving through the discouraging stretches. Being able to see the funnel — applications, interviews, offers — tells you whether a client needs more volume or better materials.
Respect consent and ownership
